The Property Scout Assistant is responsible for identifying, researching, and preparing a continuous pipeline of residential rental opportunities for the Property Scouting Team. This role serves as the operational backbone of the acquisition process by ensuring that the Property Scout PA and Property Scouts begin each day with a well-organised list of high-quality properties ready for viewing.
The success of the scouting team depends on the Property Scout Assistant consistently supplying suitable properties that meet the company's acquisition criteria.
Daily responsibilities.
Property Research
Every working day, the Property Scout Assistant must search for residential rental properties primarily on Property24 (and other approved property portals where necessary). Only properties that satisfy the company's acquisition criteria may be included.
The search must focus on:
- Residential apartments
- Townhouses
- Estate homes (where applicable)
- Monthly rental between R6,000 and R12,000
- Properties advertised as available immediately
- Properties that appear suitable for immediate occupation and corporate leasing
Properties advertised for future occupation (for example, “available next month” or later) should generally not be included unless specifically instructed by management.
Territory Allocation
The Property Scout Assistant will focus exclusively on the North and must source properties within approved operational areas, including:
- Sandton
- Bryanston
- Fourways
- Midrand
- Hyde Park
- Melrose
- Bramley
- Rivonia
- Sunninghill
- Lonehill
- Douglasdale
- Morningside
- Paulshof
- Centurion (where required)
Additional areas may be assigned by management from time to time.
Property Selection
The Property Scout Assistant is expected to exercise sound commercial judgement when selecting properties. Simply finding available properties is not sufficient.
Each property should be assessed based on factors such as:
- Overall presentation
- Desirability of the location
- Rental competitiveness
- Market demand
- Likelihood of securing suitable occupants
- Suitability for the We Rent Homes corporate leasing model
Only properties that the Property Scout Assistant believes have genuine commercial potential should be submitted.
Spreadsheet Preparation
Every identified property must be captured on the company's approved Property Acquisition Spreadsheet.
Each entry should include, where available:
- Property address or suburb
- Rental amount
- Property type
- Number of bedrooms and bathrooms
- Property24 listing link
- Photographs from the listing
- Estate or complex name (where available)
- Availability status
- Any additional notes that may assist the Property Scout PA
The spreadsheet must be completed accurately and professionally so that the Property Scout PA can immediately begin scheduling viewings without unnecessary additional research.
Daily Production Target
The Property Scout Assistant is required to upload a minimum of 50 qualifying properties every working day. These properties must be ready for use by the Property Scout PA before the commencement of the scheduling process.
Although the Property Scouts will typically conduct approximately 20 physical property viewings per day, maintaining a larger pipeline ensures operational flexibility when:
- Estate agents are unavailable
- Viewing times clash
- Properties become unavailable
- Appointments are cancelled or postponed
Maintaining a surplus of available properties is therefore essential to achieving the company's daily acquisition objectives.
Weekly Production Target
By the close of business every Friday, the Property Scout Assistant must have uploaded a minimum of 250 qualifying properties per week.
This weekly pipeline forms the foundation of the company's acquisition strategy and enables the scouting team to consistently secure new corporate lease opportunities.
Working Relationship with the Property Scout PA
The Property Scout Assistant works closely with the Property Scout PA. Once the daily spreadsheet has been completed, it becomes the responsibility of the Property Scout PA to:
- Contact the relevant estate agents
- Arrange viewing appointments
- Coordinate the daily viewing schedule for the two Property Scouts
Accordingly, the Property Scout Assistant must ensure that the information provided is accurate, complete, and organised in a manner that allows the scheduling process to begin immediately.
Performance expectations.
Performance will be measured against:
Minimum of 50 qualifying properties sourced daily
Minimum of 250 qualifying properties sourced weekly
Accuracy and completeness of the acquisition spreadsheet
Quality of selected properties
Ability to maintain a continuous pipeline of suitable viewing opportunities
Reliability and consistency in supporting the Property Scouting Team
The work performed by the Property Scout Assistant directly contributes to the acquisition goals.
By consistently providing a strong pipeline of high-quality properties, the Property Scouting Team is positioned to conduct approximately 20 property viewings per day, with the company's objective being to secure at least two new corporate lease opportunities each business day from suitable property owners.
